Labourplus Security (LPS) operates in an environment where speed and compliance are equally critical.
The Ascot-based business manages thousands of casual workers, many of whom cycle in and out of active employment depending on event schedules. Internal processes require workers to be automatically offboarded after six months, meaning returning workers must be validated before redeployment.
This creates a constant cycle of re-onboarding, checking licences, confirming work rights, and ensuring inductions and employment conditions are still current.
At the same time, onboarding demand can fluctuate dramatically. During peak periods, the team may need to onboard up to 100 workers per day. Previously, this exposed a gap in the workflow – contracts were issued before compliance was fully verified, trading unnecessary risk for the sake of moving marginally quicker.
Combined with fragmented worker records, this made it difficult to maintain visibility and confidently manage a workforce of this scale.
Labourplus Security implemented Xemplo as its central workforce platform, bringing onboarding, compliance, training, and payroll processes into a structured workflow.
A pre-onboarding sequence was established to ensure that workers submit and verify key credentials before entering the formal onboarding stage. This includes licences and work rights, which are non-negotiable for a workforce largely comprised of international students. By shifting compliance checks upfront, LPS guarantees that employment contracts are issued only after minimum compliance requirements are met, aligning onboarding with operational risk controls and reducing exposure.

Xemplo enables LPS to onboard workers en masse, without adding manual overhead. During peak periods – such as high-profile concerts or the AFL season – the team can now seamlessly onboard hundreds of workers in a day. At the same time, the platform supports lower-volume onboarding during quieter periods, maintaining consistency regardless of hiring pace.
Xemplo acts as the single source of truth for the workforce. Worker profiles consolidate licences, work rights status, employment documentation, training, and internal notes to provide the operations team immediate visibility into everyone’s compliance status. For a workforce that regularly cycles on and off projects, this is crucial. Returning workers can be rapidly reassessed, with compliance checks and requirements updated without having to start from scratch.

LPS leverages Xemplo to build and deliver structured onboarding and training tailored to its operational requirements. The platform allows the team to create and update their own induction workflows easily – combining company-specific content, compliance modules, and assessment questions. This helps maintain consistency while adapting training as requirements change. In addition to their own content, the organisation also uses Xemplo’s pre-built training materials, reducing the need to start fresh and accelerating onboarding for new workers.
Xemplo integrates seamlessly with Labourplus Security’s preferred payroll system, KeyPay, ensuring that worker data captured during onboarding frictionlessly exports to payroll. Essential information such as pay rates, employment conditions, and worker details is captured once and synced automatically, eliminating manual data entry and reducing the risk of errors.
LPS is also progressively rolling out digital timesheets within Xemplo, moving away from manual spreadsheet-based processes. This supports a more streamlined approach to time capture and approvals, particularly as workforce volume increases.
