Xemplo and Guardhouse have launched a new integration that consolidates workforce onboarding, compliance, and security operations within a single ecosystem.
Security companies can now automatically create a guard profile and security licence record in Guardhouse as soon as onboarding is completed in Xemplo.
Effectively, this partnership removes duplicate data entry from the equation – and provides scheduling teams with the crucial information they need in order to roster guards on shifts sooner.
Eliminating the HR-to-operations friction
Deploying a security guard isn't as simple as collecting a name and phone number.
Teams must handle employment contracts, verify security licences and role-specific credentials, track inductions, capture bank details, as well as collect work-rights data.
When HR systems and operational tools operate in silos, double handling is almost inevitable. Operations end up having to re-key data that compliance just spent hours verifying (a clunky process that invites input errors and delays guard deployment).
Xemplo and Guardhouse's integration eliminates that manual handover between HR and operations.
"Security providers are constantly balancing the pressure to fill shifts quickly with the need to maintain workforce compliance. By connecting Xemplo directly with Guardhouse, we remove a manual handover between HR and operations, giving scheduling teams access to accurate worker and licence information without having to enter it again."
– Sean Donnelly, Chief Technology Officer at Xemplo
How it works
- Onboard via Xemplo
The guard completes their digital onboarding – including supplying employment details, acknowledging required policies, completing inductions, and uploading security licences. - Automatic guard profile creation
Once onboarding is complete, Xemplo then creates a corresponding guard profile in Guardhouse using the key data needed for scheduling. - Licence data transferred
Security licences also automatically populate in Guardhouse along with their issuing authority, licence number, and expiry date. - Ready to schedule
Scheduling teams can roster guards onto shifts without re-entering what’s already been captured and verified through Xemplo. - Never miss an update
Changes to supported guard details and security licence renewals in Xemplo automatically sync into Guardhouse. That way, you limit the possibility for compliance gaps.
Core capabilities at a glance
Each team works in the appropriate platform
One system isn't replacing the other. This is about enhancing all parties involved.
HR and compliance teams still manage onboarding and workforce obligations through Xemplo; while security operations teams continue managing guards, schedules, shifts, and day-to-day operations via Guardhouse.
Where this all comes together is the worker's record – operations access the information they need without anyone needing to rebuild data or changing how they work.
Integration benefits
- Enter once, sync automatically
Capture worker and licence details in Xemplo to create corresponding records in Guardhouse. - Faster time to roster
Give schedulers roster-ready worker and licence information sooner. - Less double handling
Cut down administrative overhead (and remove human data-entry errors). - Real-time licence updates
Keep licence records aligned by syncing renewed licence details – along with other relevant compliance requirements – from Xemplo into Guardhouse. - A single workflow
HR and compliance continue working in Xemplo, operations remain in Guardhouse, and payroll data flows separately into your payroll engine.
Global availability
This native integration has been built by Xemplo and is available from today for security companies leveraging Guardhouse across Australia, New Zealand, the United Kingdom, as well as the United States of America.
